Who we are and what we hold

Who we are. This policy explains how AVONTRI CLIENT START LTD ("Avontri", "we") handles personal data in connection with this website and our projects. We are the controller of that data. AVONTRI CLIENT START LTD is registered in England and Wales, company number 17330733, with its registered office at 61 Bridge Street, Kington, United Kingdom, HR5 3DJ.

How to reach us. For anything in this policy, write to us by post to our registered office, AVONTRI CLIENT START LTD, 61 Bridge Street, Kington, United Kingdom, HR5 3DJ.

What this website collects. Very little. The enquiry form on the Contact page is switched off, so nothing typed there reaches us. The website has no accounts, no newsletter and no file uploads.

When you write to us. We hold what you send, such as your name, your business, how to reach you and a description of your project. If a project goes ahead, we also hold the correspondence, the written proposal, the materials you supply for the project and the records needed to invoice it.

Materials you supply. Content you give us to work with can contain personal data, such as the names and contact details of your staff for a contacts page. We use it only to prepare your materials. Where we handle personal data on your behalf in this way, the terms for it are set out in the written proposal.

The samples. The sample questionnaire and checklist on the Samples page run only in your browser. What you type or tick there is not sent to us, is not stored and is gone when you leave the page.

Server logs. Like any website host, our hosting provider records technical details of each visit (the IP address, the date and time, the page requested and the browser used) so that it can deliver the site and keep it secure.

Why we use it and who sees it

Why we use it. To reply to your enquiry and prepare a proposal; to carry out a project you have agreed and deliver the materials; to invoice it and keep accounts; to run the website and keep it secure; and to deal with any questions, complaints or claims about a project.

Our lawful bases. Under the UK GDPR we rely on:

  • Article 6(1)(b), where we need the data to take steps you ask for before a contract, such as answering an enquiry and preparing a proposal, or to perform the contract once it is agreed;
  • Article 6(1)(f), our legitimate interests in keeping the website running and secure, and in keeping a record of our correspondence so that we can answer questions about a project later. We use only what those purposes need;
  • Article 6(1)(c), where the law requires us to keep accounting records.

Who sees it. We do, and so do the service providers we use to run the business, which are: our hosting provider, our email provider, a payment provider where you pay by card through its payment page, and our accountant. Each handles the data only to provide its service to us. We may also share data where the law requires it, or with professional advisers where that is needed to deal with a claim. We do not sell personal data and do not use it for advertising.

Card details. Where a proposal offers card payment, the card details are entered on a secure payment page run by a payment provider. We never see or store them.

Outside the United Kingdom. Some providers may store data outside the UK. Where that happens, the transfer relies on UK adequacy regulations or on a safeguard the UK GDPR allows, such as the International Data Transfer Agreement. You can ask us which applies.

How long we keep it. Only as long as the purpose needs it. An enquiry that does not lead to a project is kept as long as needed to answer it and follow it up, and then deleted. Project correspondence and records are kept for as long as they may be needed to answer questions or claims about the project. Accounting records are kept for as long as company and tax law require. Server logs are kept by our hosting provider for the period its security settings provide.

Your rights

What you can ask for. You have the right to a copy of your personal data, to have it corrected, to have it deleted, to restrict how we use it, to object to our use of it where we rely on legitimate interests, and to receive it in a portable form where the law provides for that. Where we rely on your consent, you can withdraw it at any time.

How to use your rights. Write to us by post to our registered office, AVONTRI CLIENT START LTD, 61 Bridge Street, Kington, United Kingdom, HR5 3DJ. We reply within one month, as the law requires, and tell you if a complex request needs longer. There is normally no charge.

Do you have to give us your data? No law requires you to. Without a name and a way to reply, though, we cannot answer an enquiry or prepare a proposal, and without the project details we cannot carry out the work.

No automated decisions. We do not make decisions about you by automated means alone, and we do not profile you.

Complaints. If you are unhappy with how we handle your data, please tell us first so that we can put it right. You can also complain to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, through its website at ico.org.uk.

Cookies, storage and changes

Cookies and browser storage. This website sets no cookies and stores nothing in your browser. It uses no analytics and no advertising tools. If that ever changes, this policy will say what is used and why before it is used, and we will ask for your consent where the law requires it.

Changes to this policy. When this policy changes, the new version is published on this page with a new date at the top. If a change affects a project in progress, we tell you directly.
